Using SharePoint Online as a knowledge base and management system
Many management systems are managed manually in file shares and often exist in the form of loose collections of sheets. Our solution: Quality management requirements and regularly checked articles are implemented directly in SharePoint Online. The management processes are mapped with PowerAutomate. This creates an integrated system for publication and management – and users can access the articles more easily or are proactively informed about them.
The basis of this solution is a pool of checked and managed documents as well as the active information of the employee concerned. The essential content management processes were established for this purpose:
1. new creation and approval including support via workflow and
2. checking the validity of content according to time intervals
Content can be changed and re-released or removed from the managed knowledge base. Overall, the solution creates a dynamic, maintained and quality-assured pool of documents for knowledge or instructions, which can be established as a single point of truth in the company.

- Output of metadata directly on the page including classification and target group through a custom display
Find the right document quickly
- Classic navigation with thematic sorting
- Modern, guided search-based access to documents through a keyword search based on metadata
- Search is based on PNP Search Web Parts and can be customized to different metadata, priorities, etc.
- Push notification possible for the respective target group of an article, e.g. on publication or in the event of a significant update

- Intranet start page with important news and access to navigation
- Quicklinks for an overview and quick access to numerous systems and apps
- All relevant changes from the managed pages / documents are displayed to the user on the landing page
